The Challenge

Riverview Intermediate Unit #6 needed a system to track, document, and archive the movement of items such as furniture, technology, or supplies to ensure accurate and detailed records.

The Solution

Edulink’s Comply State Mandates and Compliance Tracking Software has enabled IU6 staff to effectively manage and track all item movements for relocation or disposal, ensuring accurate documentation. The “Permission to Move Items” Requests feature offers significant benefits for inventory management, including:

  • Inventory Management: It requires detailed documentation for every movement, ensuring accurate and up-to-date records.
  • Accountability: It enhances accountability by keeping all departments informed of approved item movements, thus reducing risks of loss or misplacement.
  • Efficiency: The centralized system improves efficiency by streamlining the approval process, minimizing delays, and reducing confusion.

Process Overview

1. Initiation: Users can quickly start a request using the Comply Requests feature for moving items, including relocation, transporting from another location, or disposal.

2. Approval: Upon submission, the request is routed to relevant departments for review and approval. This process ensures proper handling and accountability of each request.

3. Documentation: The request includes a questionnaire to classify items into Furniture, Technology, or Supplies categories. Users must include:

  • Tag numbers, if available.
  • Comprehensive item descriptions to ensure clarity and prevent tracking errors.

Categories of Items

Furniture: This category includes desks, chairs, filing cabinets, and other large, movable items.

Technology: Comprising computers, printers, and other technological equipment.

Riverview Intermediate Unit #6 is using Comply to track, document, and archive the movement of items such as furniture, technology, or supplies to ensure accurate and detailed inventory records.

The Requests Module of Comply enables users to facilitate all of these requests with an easy-to-use, paperless, electronic tool. To learn more about this feature and all the other items Comply can track, contact us!

“Riverview Intermediate Unit 6 has created a request in Comply to help track our inventory, as it is not in one location. We have classrooms in several school districts, non-public schools, and preschools. We now can track when inventory has been approved to be moved, where it is to be moved to and from, and items to be moved. All of these items are timestamped when they are requested and approved. This request is helping get our inventory tracking system to be current and accurate. ”
